The Customer’s Question
A business owner recently asked us:

That should not be how a professional service handles confidential material.
With a secure off-site shredding process, documents should remain protected during pickup, transportation, storage, and destruction. Secure containers, controlled handling, trained personnel, documented procedures, and a clear chain of custody all matter.
The owner’s concern was not really whether the shredder was parked outside the building or located at a secure facility.
The real concern was what happened to the records from the moment they left the office until they were destroyed.
That is the question businesses should be asking.

For this company, we explained that either option could work, but the decision should be based on their priorities.
If the company wanted immediate destruction at its location and the ability to directly observe the process, on-site mobile shredding was the better choice.
If the company was comfortable with secure transportation and controlled off-site destruction, then off-site shredding could also provide an effective solution.
We recommended that they look closely at the provider rather than judging the service only by where the shredding machine is located.
Important questions include how material is collected, how access is controlled, how employees are trained, how the chain of custody is maintained, and whether the provider supplies a Certificate of Destruction.
